IITS purchases licensed software centrally for SMU to support the teaching, learning and school administration operations.
- Software licenses are either perpetual or renewable on a yearly basis, with latest upgrades included by manufacturers.
- IITS will maintain latest software versions on the web.
- Adequate licenses for SMU licensed application suite of software are acquired for PCs and notebooks used by faculty, staff and students on campus.
- License for home use is limited and selective. IITS work closely with suppliers to license certain software for home use with a premium paid.
- All software licenses for campus and home use, if applicable, are limited to one copy per user.
- Software upgrades are not available to faculty, staff or student who ceases to be an employee or student who has graduated from SMU.
The software licenses purchased are divided into 3 categories:
(a) Standard SMU Licensed Software
- Comes pre-installed in the staff and faculty desktop and notebooks if they have requested and purchased the PCs in the SMU PC Tender exercise.
- Periodically reviewed by the IT Steering Committee for changes in software versioning and business requirements.
- Users can install software by themselves in the Network 'I' drive.

For Staff Standard Software Suite, IITS has purchased sufficient licenses for at most one copy per specific user on campus. For Microsoft Office 2007 and Trend Micro Office Scan Antivirus, Admin and Faculty staff can request for an additional copy for Home Use.
(b) Optional SMU Licensed Software
Optional SMU Licensed Software is catered for Staff and Faculty.
The Optional SMU Software Suite is a list of software that has proven to work in the SMU PC environment.

SMU has purchased several copies of the software; but the school/ department will require to purchase additional licenses when the license pool has been fully utilised. For staff requesting software in the Optional SMU Licensed Software and if there is available license, they would need to seek approval from their Head of Department & provide us the justifcation of requested software usage for audit purposes..
(c) Other Software
Apart from the SMU Suites (Standard and Optional) of software, which are subjected to periodic reviews, Faculty and staff may purchase additional software using the DART and department funds. The software to be purchased shall primarily be used for administrative operations, teaching and use by students for coursework, school projects.
